Frequently Asked Questions

When does the festival start?

The festival starts at 7:00 am on Saturday, April 6, 2024. Vendors are required to be set up and open for business no later than 7:00 am.

When can we set up our booth?

Vendors with trailers can start setting up at 3:00 am and must do so by 4:00 am as other vendors will start setting up, and access to your booth may not be available after that time. All other vendors may set up between 4:00 am and 6:50 am so they are ready to open at 7:00 am sharp. All vehicles must be off the mall before 6:50 am.

Who can we contact if we don’t know where to set up?

The mall committee members will be present on the street and will be wearing red coats marked with the Elmira Maple Syrup Festival logo. Please come see any one of us and we will be happy to assist you.

What is the vendor’s lounge?

The vendor’s lounge is a location for vendors to warm up, sit down, and use washrooms. The vendor’s lounge is located at SOS Physiotherapy (next to the Clock Tower Wellness Centre). Access to the vendor’s lounge is off Wyatt Street East (the door facing the Wellness Centre). The Lounge will be staffed by volunteers, so if you have any questions or concerns, you may get assistance there. The vendor’s lounge will be open during set up until the festival’s closure.

Where do we get electrical power from?

Only those vendors who requested electrical connections on their vendor application will be allowed to use the power supply. Electrical power will be accessed through receptacles on the street lamps along Arthur Street. Vendors will connect extension cords along the ground or tethered above to the street lamps. Extension cords running along the ground must be covered in length with heavy mats to avoid tripping hazards. No mats equals no electricity. Overhead routing of extension cords will require a rope to support the cord at least ten feet above the walking areas. The festival reserves the right to deny vendors access to electrical connections if safety is a risk.

Are generators allowed on the mall?

The short answer is no. However, we have special circumstances for a few vendors who cannot connect to the existing power supply. These vendors must request specific permission to do so. Generators are not allowed in the mall. If special permission has been granted to a vendor, that vendor must set up a generator off of the mall and supply insulated conductors (heavy duty) between the generator and their booth.  These conductors must be covered with heavy mats, with no exceptions.

Can I park my trailer or vehicle nearby?

Vendors will be assigned designated areas to park based on their booth location within the mall. These locations are within a short distance of your booth location and can be accessed throughout the day. Vendors will not be permitted to park on adjacent streets from the mall or in alleyways near the mall. The festival has emergency response routing throughout the mall, so vendors must use their designated parking. If you are not sure where that is, please contact the mall committee prior to the festival, and we can assist you with this. You can send your inquiries to Vendors@ElmiraMapleSyrupFestival.com.

We forgot our ___. Do you have any we can use or buy?

The mall committee does not have supplies, but we may be able to direct you to one of our local businesses on the day of the festival if you have forgotten items. We are often asked about rope and heavy mats for those using electrical connections. You must arrive with these in hand so that you are prepared to set up and start on time.

Why does the electrical power go off?

Occasionally we may have a breaker “pop off” during the festival. If so, one of the vendors near your area is exceeding the maximum of 15 amps as indicated on the vendor’s application. If this does happen, the mall committee will reset the electrical breaker and warn the vendor of the issue. A second offense by the same vendor will require the vendor to limit their use or shut down their booth at their expense.

Can we use freezers and/or refrigerators?

Freezers and refrigerators are not required in the mall. Coolers are acceptable and more practical.

Can I get a different booth on festival day?

No. Your location has been selected for several reasons, including product, electrical, and space requirements.  The mall is typically full each year.  On occasion, a vendor may be moved for unforeseen reasons if an alternate location is available. If you have concerns about location, you should have made a note of this on your vendor application. Please advise us if there is a safety concern regarding your location.

Where can I put my garbage?

Vendors bringing in products are expected to take their packaging home with them. The mall also has numerous garbage cans along the street for small garbage. A large bin is located at the Circle K parking lot for garbage bags during the day or for clean-up at the end of the day. DO NOT LEAVE GARBAGE ON THE STREET. Please be sure not to dispose of any hazardous materials or charcoal in any garbage bin. If you are uncertain where you can dispose of something, please ask one of our volunteers (in a red jacket with the Elmira Maple Syrup Festival logo) or go to the vendor’s lounge.

When can I pack up my booth and leave?

The mall is open until 4:00 pm. No vehicles or trailers will be allowed on the mall until the end of the festival. If you have sold out of product, you may close your booth and leave your display items within your booth area until the mall has closed.

How do I make my donation to the festival (food vendors only)?

You indicated on your vendor application that you would donate on the day of the festival (in person) or mail it back (within 2 weeks). The mall committee members will drop by your booth during the festival and collect your donation or provide you with an addressed envelope to mail your donation back. You will be provided a receipt for your donation. You may also bring your donation to the vendor’s lounge after 3:00 pm.

When can I sign up for next year?

Every November, the mall committee emails the previous year’s vendors and sends them vendor applications. New vendors can visit our website in November for details regarding vendor applications. Thank you for supporting us. We can’t wait to see you again next year!
