Each year, the Woolwich Memorial Center comes alive with the sights, sounds, and flavours of the Elmira Maple Syrup Festival! Here is where the crowds will come to savour the pancakes and maple syrup which are served at the Lions Hall directly across the parking lot. As a Special Events/Entertainment Vendor, you’ll have the opportunity to showcase your products, business/organization, or talents to thousands of visitors eager to shop, taste, and celebrate all things maple. Frequently Asked Questions
When does the festival start?
The festival starts at 7:00 am on the Saturday. Vendors are required to be set up and open for business no later than 7:00 am.
When can we set up our booth?
Vendors with trailers can start setting up at 3:00 am and must do so by 4:00 am as other vendors will start setting up, and access to your booth may not be available after that time. All other vendors may set up between 4:00 am and 6:50 am so they are ready to open at 7:00 am sharp. All vehicles must be off of the premises before 6:50 am.
Who can we contact if we don’t know where to set up?
The Special Events Coordinator as well as several volunteers will be present at the Woolwich Memorial Complex and will be wearing red coats marked with the Elmira Maple Syrup Festival logo. Please come see any one of us and we will be happy to assist you.

Is there hydro available?
Any vendor requiring access to an electricity will require their own generator (requires to be TSSA compliant). Generators will be limited to a few pre-approved vendors where electrical outlets are unavailable. We will be inspecting this on festival day.
Can I park my trailer or vehicle nearby?
Vendors will be assigned designated areas to park based on their booth location. These locations are within a short distance of your booth location and can be accessed throughout the day. Vendors will not be permitted to park on adjacent streets from the Woolwich Memorial Complex. The festival has emergency response routing throughout the town, so vendors must use their designated parking. If you are not sure where that is, please contact the Special Events Coordinator prior to the festival, and we can assist you with this. We forgot our ___. Do you have any we can use or buy?
The Special Events Committee does not have supplies, but we may be able to direct you to one of our local businesses on the day of the festival if you have forgotten items.
Can I get a different booth on festival day?
No. Your location has been selected for several reasons, including product, electrical, and space requirements. On occasion, a vendor may be moved for unforeseen reasons if an alternate location is available. If you have concerns about location, you should have made a note of this on your vendor application. Please advise us if there is a safety concern regarding your location.
Where can I put my garbage?
Vendors bringing in products are expected to take their packaging home with them. The Woolwich Memorial Comples also has numerous garbage cans along the street for small garbage. A large bin is located at the north parking lot for garbage bags during the day or for clean-up at the end of the day. DO NOT LEAVE GARBAGE ON THE STREET OR IN THE PARKING LOT. Please be sure not to dispose of any hazardous materials or charcoal in any garbage bin. If you are uncertain where you can dispose of something, please ask one of our volunteers (in a red jacket with the Elmira Maple Syrup Festival logo).
When can I pack up my booth and leave?
The festival runs until 4:00 pm. No vehicles or trailers will be allowed into the Woolwich Memorial Complex until the end of the festival. If you have sold out of product, you may close your booth and leave your display items within your booth area until the event space has closed.
How do I make my donation to the festival (food vendors only)?
You indicated on your vendor application that you would donate on the day of the festival (in person) or mail it back (within 2 weeks). The Special Events Committee members will drop by your booth during the festival and collect your donation or provide you with an addressed envelope to mail your donation back. You will be provided a receipt for your donation.
When can I sign up for next year?
Every November, the Special Events Committee updated the vendor applications for the coming year. You can visit our website in November for details regarding vendor applications. Thank you for supporting us. We can’t wait to see you again next year!
